Terms & Conditions

These Terms & Conditions apply to all orders placed with Wild Flour. By submitting an order request, accepting a quote, sending payment, or picking up an order, you agree to the terms outlined below.

Please read these terms carefully before booking.

1. Order Requests
Submitting an order request does not guarantee that your order has been accepted.

Orders are accepted based on availability, timing, order details, and capacity. Once your request is received, Amanda will review the information provided and follow up by email to confirm whether the order can be accommodated.

Your order is only considered booked once Wild Flour has accepted the order, confirmation has been sent, and payment has been received.

2. Booking Window
Booking 4–6 weeks in advance is recommended, especially for detailed designs, weddings, corporate orders, larger quantities, and busier dates.

Shorter-notice orders may be accepted when capacity allows. Any order requested with less than 7 days until pickup may be subject to a rush fee depending on the scope of the order and current workload.

3. Quotes & Pricing
All orders are custom quoted. Pricing is based on the product type, number of servings, design complexity, flavour selection, dietary requests, specialty ingredients, materials, packaging, labour, and any custom decorations, cutters, stencils, toppers, or supplies required to complete the order.

Quotes are based on the information provided at the time of the request. If the order details change after the quote is provided, the final price may also change.

Quotes are valid for 24 hours unless otherwise stated. If payment is not received within that time, the requested date, price, and availability may no longer be guaranteed.

Prices are non-negotiable. Wild Flour prices each order based on the time, ingredients, supplies, skill, and labour required to complete the work.

All prices are listed in Canadian dollars unless otherwise stated. Applicable taxes, if any, will be added as required.

4. Payment
Payment is required to reserve your date and secure your order.

Wild Flour may require full payment at the time of booking. Payment allows Wild Flour to purchase ingredients, supplies, decorations, packaging, cutters, stencils, and other materials required for your custom order.

Your order is not secured until payment has been received.

By sending payment, you confirm that you have read, understood, and agreed to these Terms & Conditions.

5. Cancellations
If you need to cancel your order, please contact Wild Flour as soon as possible.

Because each order is custom and may require advance preparation, ingredients, supplies, and reserved production time, cancellation credits are handled as follows:

Cancellations made 15 or more days before pickup may be eligible for a 75% credit toward a future order.
Cancellations made 7 or more days before pickup may be eligible for a 50% credit toward a future order.
Cancellations made less than 7 days before pickup are not eligible for a refund or credit.

Credits, when issued, are valid for 1 year from the date of cancellation.

Refunds are not provided for cancelled custom orders unless required by applicable law or unless Wild Flour is unable to fulfill the order.

6. Date Changes
If your event date changes, Wild Flour will do its best to accommodate the new date. Date changes are not guaranteed and depend on availability.

If Wild Flour is not available for the new requested date, the cancellation policy may apply.

7. Design Changes
Design changes may be requested up to 1 week before pickup.

Design changes are not guaranteed and may result in additional costs. Changes requested with less than 1 week’s notice may not be possible. If a late change can be accommodated, additional charges and/or a rush fee may apply.

Wild Flour reserves the right to decline changes that are not possible due to timing, materials, structure, food safety, design limitations, or availability.

8. Custom Design & Artistic Interpretation
Every order is handmade and subject to artistic interpretation.

You may provide inspiration photos, colour palettes, themes, names, dates, phrases, and other design details. Wild Flour will use these references to guide the final design, but exact duplication is not guaranteed.

Colours may vary slightly from digital references, printed materials, florals, decor, clothing, invitations, or inspiration images. Wild Flour does not guarantee a perfect colour match.

For copyrighted images, characters, logos, or branded designs, you are responsible for ensuring you have the right or permission to use the requested material. Wild Flour may decline requests that cannot be completed safely, legally, or within the scope of the business.

9. Flavours, Dietary Requests & Allergens
Wild Flour does not use one fixed flavour menu and may suggest flavour combinations based on your preferences.

Please include all dietary restrictions, allergies, and food sensitivities in your order request. Some dietary requests may require an additional charge, and not all dietary restrictions may be able to be accommodated.

Unless specifically confirmed in writing, Wild Flour does not guarantee that any product is allergen-free. Products may be prepared in a kitchen where common allergens may be present, including but not limited to wheat, gluten, dairy, eggs, soy, peanuts, tree nuts, and other allergens.

Customers are responsible for notifying Wild Flour of any dietary restrictions or allergies before the order is accepted.

10. Pickup
Pickup is by appointment only.

You are responsible for picking up your order at the confirmed pickup time. If you are running late or need to make alternate arrangements, please notify Wild Flour as soon as possible.

Orders not picked up within the confirmed pickup window, or within 15 minutes of the agreed pickup time without communication, may be forfeited. No refund will be provided for missed pickups.

If alternate pickup arrangements are possible, Wild Flour may offer a new pickup time at its discretion. This is not guaranteed.

11. Transport & Storage After Pickup
Once an order has been picked up, it is the customer’s responsibility to transport, store, and handle the order properly.

Wild Flour is not responsible for damage that occurs after pickup, including but not limited to damage caused during transport, improper handling, heat exposure, refrigeration issues, smudging, cracking, melting, shifting, dropping, or failure to follow care instructions.

If pickup or care instructions are provided, the customer is responsible for following them.

12. Quality Concerns
Wild Flour takes pride in the quality of its work. If you have a concern with your order, please contact Wild Flour as soon as possible.

Quality concerns must be reported within 24 hours of pickup. The product, or the uneaten portion of the product, may need to be returned for review before any credit, refund, or resolution can be considered.

No refund or credit will be provided for products that have been fully consumed.

Refunds, credits, or replacements are handled at Wild Flour’s discretion, subject to applicable consumer protection laws.

13. Refunds
Because custom baked goods are made specifically for each customer and are perishable, refunds are not provided for change of mind, cancelled events, incorrect customer-provided details, missed pickups, design preferences, colour variations, or inspiration photos not being exactly replicated.

Refunds may be considered only where required by applicable law or where Wild Flour determines that a refund, partial refund, credit, or replacement is appropriate.

Nothing in these Terms & Conditions limits any rights you may have under applicable consumer protection laws.

14. Photographs & Marketing
Wild Flour reserves the right to photograph completed orders and use those photos for marketing, portfolio, social media, website, advertising, and promotional purposes.

If you do not want your order photographed or shared publicly before a certain date, please notify Wild Flour in writing before pickup.

Wild Flour will not intentionally share private customer information with order photos without permission.

15. Customer-Provided Information
You are responsible for providing accurate information when submitting an order request, including your name, email address, event date, pickup date and time, product type, serving count, flavour preferences, dietary restrictions, theme, colour scheme, wording, and design details.

Wild Flour is not responsible for errors caused by incorrect, incomplete, or late information provided by the customer.

16. Personal Information
Wild Flour collects personal information only as needed to review, quote, prepare, communicate about, and complete your order.

This may include your name, email address, phone number, order details, dietary information, event details, and payment-related information.

Personal information will be used for order-related purposes and will not be sold. Information may be shared only where needed to process payment, operate the website or order form, communicate with you, comply with legal requirements, or complete the order.

17. Refusal of Service
Wild Flour reserves the right to decline an order request for any reason, including but not limited to availability, timing, order scope, design limitations, unsafe transport concerns, inappropriate content, non-payment, previous missed pickups, disrespectful communication, or requests outside the business’s capacity.

18. Limitation of Liability
To the maximum extent permitted by law, Wild Flour is not responsible for indirect, incidental, or consequential losses related to an order, event, pickup issue, design preference, delay, or customer handling after pickup.

Wild Flour’s liability, where liability is established, is limited to the amount paid for the affected order, except where applicable law requires otherwise.

19. Governing Law
These Terms & Conditions are governed by the laws of British Columbia and the applicable federal laws of Canada.

Any disputes will be handled in British Columbia unless otherwise required by law.
